Online Reservation Software for Charters: 7 Things to Check
Fees, deposits, manifests, schedules, weather, support and contracts: seven checks for any charter booking software.
A new booking system looks great in a demo. The calendar is clean. The buttons are blue. Nobody in the demo is standing on a wet dock with a phone in one hand and a bait knife in the other.
So before you pick online reservation software for charters, run it through a real-world test. Below are seven things to check, in the order we would check them. If you run fishing trips, our page on booking software for fishing charters shows how GoFish.Rocks handles each one.
The best demo question is not “What can it do?” It is “What happens on my worst day?”
Why online reservation software for charters needs a real test
We’ve worked with charter captains for years. Most of them don’t have time to learn a whole new system in June. So the software has to be simple on day one and still hold up on day ninety.
A charter is not a theme park ticket. You often have a small group, a big price, a deposit, and a trip that depends on the wind. That mix is where weak software shows its cracks.
Here’s how to use this list. Open a notes file. Write the seven headings below. Ask every vendor the same questions and write down what they say. If the answer is “it depends,” ask what it depends on (and write that down too).
By the end, you will have a simple side-by-side that no demo can blur.
1. The fee model
Start here, because it follows you all season. Ask one plain question: is the fee a flat amount or a percentage of the ticket?
A percentage grows when your price grows. A flat fee does not. Here is example math on a 6-person charter. The percentage rates are generic examples, not quotes from any company.
| Charter price | 3% example fee | 6% example fee | GoFish.Rocks |
|---|---|---|---|
| $600 | $18 | $36 | $9.00 |
| $1,200 | $36 | $72 | $9.00 |
| $2,000 | $60 | $120 | $9.00 |
Example math only. GoFish.Rocks is $1.50 per passenger with a 6-passenger charter minimum, so 6 guests cost $9.00.
GoFish.Rocks has no setup fee and no monthly subscription. You can pass the $1.50 to guests or absorb it. See the full pricing page. As Tequila Too Sportfishing put it: “The flat rate for bookings instead of a percentage is the way to go, because that percentage adds up fast!”
2. Deposits and card fees
Many charters take a deposit up front and the rest at the dock. Ask your software provider how deposits work, and how the balance gets collected.
Then ask about card processing. That fee is separate from the booking fee. For example, according to Stripe’s pricing page (as of September 2026), Stripe charges 2.9% + $0.30 per successful transaction for domestic cards, with no setup or monthly fees.
GoFish.Rocks plugs into your own merchant account: Stripe, Square, Authorize.net, or our eCrypt option. We never hold the money, and most operators see deposits within 24 hours. More on that in billing and payments.
3. Manifest and export
Your manifest is not paperwork you can skip. Ask each vendor what the manifest shows, and whether you can print or export it the way you need.
GoFish.Rocks builds a USCG-compliant manifest for every departure, with a real-time headcount. It supports headboat manifests too.
4. Calendar and schedule control
Can you run a half day and a full day on the same boat without double booking? Ask that out loud. Also ask whether the software syncs with any outside calendar you rely on.
In GoFish.Rocks, you can set single and recurring trips, open-party and private charters, seasonal availability and blackout dates. When trips overlap, conflicting slots close on their own. Walk-ups and private charters sit in one system.
5. Weather rebooking
This is the big one for charter booking software. The forecast turns, and you need to move six people to another day (and one of them already bought new sunglasses for this trip).
Ask two things. How fast can I tell everyone? And what do I pay on a trip that never left the dock?
GoFish.Rocks answer: one mass update reaches every guest by text and email, and canceled or refunded bookings cost $0. Billing happens at month end, only for trips that sailed.
Our guide on how to handle weather trip cancellations covers the policy side.
6. Support hours
Here’s the thing about support. You only need it on a busy day, and busy days are when it is hardest to reach anyone.
Ask who answers, when, and how. Phone? Email? Chat? What happens on a Saturday in July?
GoFish.Rocks offers US-based, same-day support with live phone help at (805) 871-0044. Setup, training and migration are free. See support and migration.
7. Contract length
How do you leave if it doesn’t work out? Ask for the answer in writing: contract length, notice period and any exit fee.
GoFish.Rocks has no contracts. You can cancel any month with no penalty.

Picking booking software for tours and charters
If you run both tours and charters, the same seven checks apply. You just need seat-based trips and private charters side by side. For more options, read our roundup of the best fishing charter booking software.
Bottom line: good online reservation software for charters should make your worst day easier, cost the same when your price goes up, and let you leave if it doesn’t fit.
